We are seeking a highly organised and proactive Facilities Assistant to oversee the day-to-day operations of the VCA offices in Bristol. The ideal candidate will possess strong leadership skills, excellent communication, and a keen eye for detail. Responsibilities include managing maintenance, ensuring safety and security, and fostering positive relations with the client. This is an exciting time to join the VCA with the advent of autonomous and green vehicles,


The position is 40hrs a week with flexible working pattern (i.e. not just 9am-5pm) on a rolling 6 month's contract which is likely to be in place for at least 12 months with the potential to move into a permanent position with the client from Mitie.


Key Responsibilities:



  • Including but not limited to, supervising building maintenance and repairs to ensure facilities are well-maintained.

  • Implement and oversee security measures to safeguard the building and its occupants.

  • Meeting and greeting visitors to the agency, ensuring identity where required and issuing building passes accordingly.

  • Develop and maintain positive relationships with the client's staff, addressing concerns and inquiries promptly.

  • Acquisition and management of quotes for maintenance, repairs, and operational expenses.

  • Coordinate with vendors and contractors for necessary services.

  • Deputise for the Senior Estates, Health & Safety Manager also acting as the main point of contact in their absence.


What we are looking for:



  • Proven experience in property management or a related field.

  • Knowledge of IOSH working safely.

  • Strong organisational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Knowledge of building codes, safety regulations, and maintenance best practices.

  • Proficient IT skills including MS Word, MS Excel and MS PowerPoint, and comfortable with numerical reasoning, Knowledge of CAFM tools.


Desirable:



  • Fire Warden Trained.

  • First Aid Trained.

  • A BPSS (Baseline Personnel Security Standard) check is required to work on this contract and will be essential for you to pass as part of the role.

  • L8 trained.
