Framatome Ltd is looking for a Facilities Coordinator to join our Facilities team. You will provide the coordination, administration, information and follow-through needed to keep workplaces safe, compliant and running effectively.
The role
You will coordinate facilities requests, planned and reactive maintenance, contractors, compliance records, purchasing, documentation, fleet and property information. Working with the Facilities Manager, internal stakeholders and suppliers, you will ensure actions are scheduled, tracked, evidenced and completed.
Key responsibilities
• FM Helpdesk & Maintenance: Log, categorise and prioritise requests; allocate jobs; coordinate contractors; arrange access; track progress; chase overdue work; close jobs and capture feedback.
• CAFM/CMMS: Create and update work orders; maintain asset records and maintenance history; upload certificates/reports; monitor overdue PPM; produce reports and improve data quality.
• PPM: Maintain schedules; book engineers/contractors; coordinate appointments and access; monitor completion; chase certificates; update systems and report outstanding actions.
• Compliance: Maintain schedules and evidence for fire, Legionella, electrical, PAT, asbestos, gas, lifts, LOLER, PSSR, F-Gas, emergency lighting and other inspections. Track due, approaching-due and overdue actions, missing evidence and corrective actions. This is a coordination role; technical judgements remain with appropriate specialists.
• Contractors & Supply Chain: Maintain contractor records, qualifications and certifications; coordinate inductions/visits; manage RAMS and permits; record attendance; support cost comparisons and KPI reporting; chase outstanding documentation.
• Purchasing & Finance: Raise requisitions; support goods receipting; maintain POs; match and track invoices; investigate discrepancies; maintain budget/spend trackers and contractor expenditure; maintain utility records.
• Fleet: Maintain vehicle records; track MOTs, servicing and insurance; coordinate breakdowns, driver/licence checks, fuel cards, accidents and vehicle bookings.
• Document & Information Management: Maintain controlled, audit-ready filing; manage certificates, O&M manuals, technical reports, RAMS, permits, contractor evidence, retention and archiving.
• Property: Maintain property, lease and contact information; track rent reviews, renewals, insurance and EPC dates.
• Reporting: Produce PPM, reactive maintenance, helpdesk, compliance, contractor, KPI, PO, invoice, energy, fleet and outstanding-action reports.
• Workplace & Emergency Coordination: Support office moves, minor works, contractor access, meeting rooms, signage, DSE assessments and workplace communications. Maintain emergency contacts, escalation lists and documentation and support emergency communications/exercises.
What we’re looking for :
We’re looking for someone highly organised, dependable and proactive, able to own a busy workload and ensure nothing is lost between request, action and completion.
Ideally, you will have experience in facilities, property, workplace, maintenance, engineering administration or a similar coordination environment, with:
• Strong organisational and administrative skills
• Excellent attention to detail
• Experience coordinating tasks, contractors or suppliers
• Confidence using CAFM/CMMS, ERP or business systems
• Good Microsoft Office skills, particularly Excel
• Strong record-keeping and information-management skills
• Effective communication and stakeholder-management skills
• Confidence chasing actions and agreed timescales
• A methodical approach to compliance and documentation
• Ability to prioritise in a busy operational environment
• A proactive, collaborative approach
Experience in facilities compliance, PPM, contractor management, purchase orders, invoice processing, fleet or property administration is advantageous.
What success looks like
Success means the Facilities Manager and wider business can rely on you to know what is happening, what is due, what is outstanding and what needs attention. FM requests are progressed, maintenance is completed, compliance evidence is controlled, contractors have the right information, financial records are accurate, facilities information is audit-ready and management information is delivered on time.
