Are you a detail-oriented professional with a passion for construction and information management? Stepnell is seeking a dedicated Document Controller to join our team in Bristol. You will play a critical role in ensuring the flow of design-related information is managed consistently across all our projects using our preferred document management system (DMS).

The Role

Reporting to the Design Manager, you will be responsible for rigorously maintaining the control and traceability of all project documentation from inception through to completion. You will act as a champion for our DMS, ensuring that complete, accurate, and buildable design information is delivered in a timely manner for construction and procurement processes.

Key Responsibilities

  • Office & Administration: Provide administrative support to the design management function, including chasing information, producing reports, and managing the general distribution of project information.
  • Systems Management: Set up project folders, facilitate communication processes, and always ensure the use of standardised forms and templates.
  • Information Control: Review supplier document compliance with project standards regarding numbering and quality; manage photocopying and scanning activities.
  • Work Winning: Support the pre-construction team during the bid process and ensure the distribution of controlled copies of the latest approved drawings.
  • Construction Support: Liaise with project teams and third parties to agree on standards for handover and close-out; maintain the Master Document Register.
  • Monitoring & Reporting: Produce overdue reports for clients and suppliers, and challenge consultants to provide information within agreed timescales.
  • Quality Assurance: Periodically visit sites to train and assist teams in utilising the DMS effectively.

Financial & Time Management

  • Efficiently manage and review time allocation across various projects.
  • Collaborate with line managers to ensure time allocation during bid processes is accurate and workload is optimised.

What We Are Looking For

  • Technical Proficiency: Ability to review, develop, and maintain document control processes and DMS procedures.
  • Communication: Strong ability to communicate and liaise with internal teams and external suppliers to ensure consistency.
