Job Purpose

The SAP User Management Specialist is responsible for managing user accounts, roles, and authorizations within the SAP (Systems, Applications and Products) environment. This role ensures secure and efficient access to SAP systems while maintaining compliance with security policies and audit requirements and focuses on overseeing user accesses, permissions and related processes to mantain data integrity, security and compliance with corporate policies and industry standards.

Principal Accountabilities

  • User access management:
    • Deliver the creation, modification, and maintenance of user accounts in the SAP Polaris system.
    • Assign appropriate user roles, authorizations, and access permissions based on job requirements and departmental needs.
    • Ensure the timely provisioning and deprovisioning of SAP system access for employees.
  • Authorization and role management:
    • Maintain and update SAP Polaris user roles and authorization profiles to reflect with changing business processes.
    • Perform role-based access reviews and audits to ensure compliance with security policies.
    • Resolve access-related issues and troubleshoot user authorization problems.
  • Security and compliance:
    • Implement and enforce security best practices within the SAP Polaris system to protect sensitive data.
    • Ensure compliance with industry regulations and internal policies, such as GDPR, SOX, and HIPAA.
    • Monitor and report security incidents, as well as work on remediation efforts.
  • Training and documentation:
    • Provide training and support to SAP users on security policies, access controls, and best practices.
    • Implement document control processes and best practices to maintain up-to-date records
    • Create and maintain documentation related to user management & business processes and procedures.
  • User support:
    • Collaborate with the IT support team to resolve user-related issues, troubleshoot errors, and provide technical assistance.
    • Facilitate the resolution of SAP user queries and problems.
  • Reporting and analysis:
    • Generate reports and perform data analysis to track user access trends, identify anomalies, and recommend improvements.
    • Assist in preparing compliance reports for internal and external audits.
    • Perform periodic user access reviews and role cleanups to optimize system security.
  • Continuous improvement:
    • Stay abreast on best practices, new features and requests from customers, internal stakeholders, business teams and IT.
    • Propose and implement enhancements to SAP and business processes to optimize efficiency and standardization.
Change Management:

  • Understand the need for change and its positive impact on the business by role modelling change management behaviours and applying structured processes and tools to lead and support change.
  • Ensure that the business processes – as defined by the Polaris model – are fully adhered
  • Define and document process improvements.

IT and the Business:

  • Working with the Polaris help-desk group to clarify business issues and requests to ensure appropriate processes are followed and support is provided to customers.

Organisational Compliance and Business Performance Improvement:

  • Mapping of existing processes, identification of pain points and recommendations for improvement.

Leadership:

  • Supporting project leaders in managing through review, action and implementation.

Operational activities within Roadmap Roll-out scope or other project activities:

  • Perform business process validation, taking into account the business requirements
  • Support solution documentation, in accordance to AFEMEA standards.
  • Ensure externally-led solutions adhere to and are consistent with both AFEMEA standards and the agreed overall solution.

Qualifications & Requirements

  • Formal Qualifications and Experience
  • Bachelor's degree in computer science, information technology, or a related field.
  • 3+ years’ previous experience in large-scale projects in a dynamic organisation, encompassing a complex multi-plant manufacturing network.
  • Detail-oriented with a focus on data accuracy.
  • Familiarity with SAP applications, particularly in user provisioning and role management.
  • Understanding of compliance regulations and their implications on SAP user management.
  • Proficiency in user access control tools and SAP security administration tools.
  • Excellent problem-solving and analytical skills.
  • Effective communication and interpersonal skills.
  • Relevant SAP certifications, such as SAP Certified Technology Associate (SAP CTA), a plus..
  • Proficiency in document management software (e.g., SharePoint, DocuSign, SAP DMS).
  • Effective communication and interpersonal skills to collaborate with diverse teams.
  • Ability to work independently and manage multiple testing projects simultaneously.
  • Strong analytical skills, attention to detail, and the ability to handle large volumes of information efficiently.
  • Continuous learning orientation to stay updated with industry trends and advancements in testing methodologies.
  • Strong knowledge of SAP security concepts and principles
  • Experience in SAP user management, authorization management, and security administration is a plus.
  • General knowledge of best practices within Master Data, Accounting and Controlling functions as well as knowledge of SAP Polaris template and legacy system is highly beneficial.
  • Demonstrated track record of effective business partnering to drive impact to the business.
  • Qualification in a project management standard (e.g Prince 2 / PMI / Agile) is advantageous.
  • Experience in successfully managing change in a multi-plant manufacturing environment.
  • Proficient computer skills, experience with Microsoft Office Suite; working knowledge of program/project management software.
