HAIL Partners are delighted to represent a prestigious, global private equity firm seeking an experienced Executive Assistant to join their team.


In this role, you will be supporting approximately 3-4 senior Execs, while working collaboratively within an established team of Executive Assistants. This position offers both a supportive environment and the opportunity to work alongside experienced colleagues in a dynamic, high-profile setting.


Day to day



  • Extensive calendar management – daily handling of scheduling and rescheduling appointments, communicating with attendees, demonstrating flexibility with changing schedules, and ensuring appointments are met

  • Work closely with executives to complete critical deliverables with a hands-on approach, keeping them well-informed of upcoming commitments, following up appropriately, prioritising conflicting needs, and handling matters expeditiously

  • Arrange complex travel plans including detailed itineraries, necessary travel documents and visa coordination

  • Schedule and organise meetings, conferences and off-sites including all related logistics

  • Process expenses for professionals using the Concur expense management system, including corporate credit card and out-of-pocket expenses

  • Manage work priorities independently and respond to business needs outside normal business hours when required

  • Coordinate closely with the team and other assistants to provide phone coverage and back-up assistance


Qualifications and Experience



  • Bachelor's Degree or four or more years of administrative assistance experience, or equivalent combination of education and experience

  • Ability to thrive in a fast-paced and rigorous work environment with demonstrated ability to prioritise competing demands and meet deadlines

  • Strong initiative and ownership of responsibilities – must demonstrate a proactive, positive attitude towards tasks, plan ahead for potential issues and take appropriate action

  • Exemplary interpersonal skills to handle sensitive and confidential situations with poise, tact and diplomacy

  • Superb written and verbal communication skills with strong attention to detail

  • Team-oriented and collaborative attitude is essential
