Frazer James
IFA Administrator
Do you take pride in keeping things moving, resolving problems and making life easier for clients?
At Frazer James, excellent administration is central to delivering excellent financial planning. We’re looking for an experienced IFA Administrator who takes ownership, uses sound judgement and follows things through.
About The Role
You’ll work closely with colleagues to deliver a smooth, well-organised client experience. Your work will include coordinating client activity, preparing and maintaining information, supporting the implementation of financial plans and keeping outstanding actions moving.
We’re looking for someone who takes responsibility for the outcome, considers the next step and recognises when a client or colleague needs an update. This role is designed for someone who enjoys administration and wants to continue developing their expertise in it.
This is a UK-based remote role, with travel to Bristol for quarterly team days and occasional meetings.

- Salary: £35,000–£45,000, depending on experience.
- Growth allowance: 5% of salary for personal and professional development.
- Annual bonus: Up to 5% of salary.
- Wellbeing allowance: 4% of salary paid as a cash allowance.
- Pension: Employer contributions matched up to 7%.
- Working week: 35.5 hours, with a 3pm finish on Fridays.
- Remote working: Work from anywhere within the UK.
- Work abroad: Up to 90 days each year.
- Holiday: 24 days plus bank holidays, your birthday and additional long-service leave, with the option to purchase more.
- Sabbatical: One fully paid month every three years.
- Health: Annual health screening and a medical cash plan.
- Professional development: Paid professional exams and relevant training.
- Charity days: Up to two paid charity days with the team each year.
What You'll Be Doing
- Supporting clients: Respond clearly and professionally to queries, coordinate requests and keep clients informed about progress and next steps.
- Coordinating client work: Organise meetings, documentation and follow-up actions, working with colleagues and providers to keep work progressing.
- Supporting financial plans: Prepare and process the information and instructions needed to put agreed recommendations into practice, checking accuracy and confirming completion.
- Maintaining accurate information: Gather and review client and policy information, prepare clear summaries and resolve gaps or inconsistencies across our systems.
- Overseeing workflows: Keep track of outstanding work, recognise delays or missed steps and take timely action to get things moving.
- Resolving problems: Investigate issues, use your judgement to decide the appropriate next step and involve colleagues when specialist input is needed.
- Using technology thoughtfully: Use approved digital and AI tools, check their outputs against source information and recognise when human review or intervention is needed.
- Improving how we work: Help identify, test and refine practical improvements that reduce avoidable effort and give us more time to support clients.
What You'll Bring
- Relevant experience: At least three years in an administration or client support role within a UK financial advice or financial planning firm.
- Ownership: Experience taking responsibility for client work through to completion, without close supervision.
- Sound judgement: You assess the information available, make timely decisions within your authority and recognise when specialist input or escalation is needed.
- Proactivity: You anticipate requirements, investigate delays and follow up with purpose.
- Organisation and accuracy: You manage competing priorities while maintaining careful checks and reliable records.
- Strong client communication: You explain things clearly, adapt to the person you’re helping and keep people informed.
- Remote-working experience: You have worked successfully from home and communicate effectively within a remote team.
- Curiosity and adaptability: You’re willing to learn, question established ways of working and contribute ideas as the role evolves.
- Confidence with technology: You learn new systems readily and are keen to develop your ability to use AI and automation responsibly. You check information critically and take responsibility for the quality of your work.
Experience within a small financial planning firm would be helpful. Familiarity with Fundment, Wealthbox, Google Workspace, and macOS is welcome, but experience with all systems is not required. You don’t need to be a technology ninja, but you do need to be capable and adaptable.
