On behalf of our globally respected client who develop cutting-edge technologies that deliver clean, safe and competitive solutions to meet the planet's vital power needs we are looking for a Secretary for an initial 6-month contract. The role is based in Bristol. It is an onsite role. This is a part-time opportunity requiring 20 hours per week.
Job Description - The Role
To provide efficient secretarial and administrative support to managers and the wider team, ensuring the smooth coordination of diaries, meetings, office activities, and client visits while maintaining high standards of organisation and service.
As a Secretary, you will:
- Manage managers' diaries, coordinate meetings, prioritise schedules, and ensure meeting materials are prepared and distributed in advance.
- Arrange and coordinate client and customer visits, ensuring all logistics are managed efficiently.
- Undertake general office management duties, including stationery ordering and mail distribution.
- Monitor and manage departmental travel and stationery budgets.
- Provide administrative support across relevant business systems, including absence management processes.
- Produce and format correspondence, presentations, reports, meeting minutes, and other documentation while meeting agreed deadlines.
- Maintain distribution lists and circulate communications to relevant stakeholders.
- Provide support and cover for colleagues within the secretarial team as required.
What we require from the candidate:
- Previous experience working as a secretary or in a similar administrative support role.
- Strong organisational and time management skills, with the ability to manage multiple priorities effectively.
- Proven experience managing complex diaries, scheduling meetings, and coordinating appointments.
- Experience arranging and coordinating client/customer visits, including meeting logistics and preparation.
- Experience ordering stationery and managing office supplies.
- Confident using Microsoft Office applications, including Word, PowerPoint, Outlook, and Excel.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and ability to work independently while supporting a wider team.
