Facilities & Operations Coordinator

Full Time | Hybrid Working Available | 40 Hours per Week

Are you an organised, proactive professional with experience in customer service, facilities management, operations, or sales support? We're looking for a Facilities & Operations Coordinator to join a growing team in a varied role that combines facilities coordination, customer service, sales support, and business development.

The Role

As a Facilities & Operations Coordinator, you will act as a central point of contact for customers, engineers, contractors, and suppliers, ensuring jobs are managed efficiently from enquiry through to completion.

You will coordinate reactive maintenance requests, support sales and tender activities, maintain accurate records, and help drive business growth through lead generation and customer engagement.



Key Responsibilities



Facilities & Operations

  • Manage reactive maintenance requests and service calls.
  • Coordinate engineers, subcontractors and suppliers.
  • Ensure service level agreements (SLAs) are achieved.
  • Obtain quotations and arrange services as required.
  • Raise purchase orders, quotations and invoices.
  • Maintain accurate job records and customer information.
  • Keep customers updated throughout the lifecycle of their requests.
  • Support the delivery of facilities management services.
  • Assist with operational planning and scheduling.


Sales & Commercial Support

  • Coordinate incoming sales enquiries.
  • Support tender and proposal submissions.
  • Maintain CRM and customer databases.
  • Track opportunities and follow up with prospective customers.
  • Assist with preparing sales documentation and presentations.
  • Identify opportunities for upselling and cross-selling services.


Business Development

  • Research prospective clients and market opportunities.
  • Generate leads through LinkedIn and other business development channels.
  • Build and maintain contact databases.
  • Support targeted outreach campaigns.
  • Arrange follow-up activity and appointments.


Digital & Administrative Support

  • Maintain company information across portals and systems.
  • Support social media and LinkedIn activity.
  • Assist with creating marketing and content materials.
  • Utilise technology and AI tools to improve efficiency and processes.
  • Ensure records, documentation and compliance information remain up to date.


What We're Looking For



Essential Skills & Experience

  • Experience in facilities management, customer service, operations, sales support, business development or service coordination.
  • Excellent communication skills, both written and verbal.
  • Strong organisational and time management abilities.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Proficiency with Microsoft Office and Microsoft 365.
  • Strong customer-focused approach.
  • Commercial awareness and attention to detail.


Desirable Experience

  • Facilities management industry experience.
  • CRM or job management systems.
  • Tender or bid coordination.
  • LinkedIn lead generation.
