Location: Cribbs
Shift: 07:00am until 16:00pm Monday to Friday

Job Description: At Gregory Distribution, we are currently seeking a Transport Administrator to join our busy Cribbs depot. This role involves supporting and supervising the day-to-day running of a dedicated transport operation, ensuring efficiency, compliance, and high service standards.

Key Responsibilities:

  • Build and maintain strong customer relationships, ensuring smooth and efficient operational delivery.
  • Respond promptly and professionally to queries via email, telephone, and face-to-face interactions.
  • Work collaboratively with internal departments and transport teams to support day-to-day operations.
  • Manage invoicing, accounts, and a range of administrative duties accurately and efficiently.
  • Oversee driver compliance, including driver hours, Working Time Directive adherence, and completion of pre- and post-checks.
  • Support and monitor Health & Safety standards, contributing to audits and ensuring compliance with company procedures.
  • Provide clear and effective driver dispatch and debrief communication.
  • Prepare and maintain reports, KPIs, spreadsheets, and track outstanding work to ensure timely resolution.
  • Confidently utilise multiple internal and external IT systems to support operational performance.
  • Support depot-based activities, including time and attendance tracking, checking transport documentation, and managing stock or equipment movements.
  • Maintain clear, consistent communication with drivers, customers, and colleagues at all levels.
  • Work effectively in a fast-paced, high-pressure environment, demonstrating flexibility and a proactive approach.
  • Provide holiday and absence cover across the team as required.

Skills & Experience:

  • Proven office or administrative experience in a professional environment
  • Strong IT skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace
  • Experience using QuickBooks or similar accounting software (desirable)
  • Excellent organisational skills with the ability to prioritise workload effectively
  • Ability to meet deadlines with strong attention to detail
  • High typing speed with accuracy for data entry tasks
  • Professional telephone manner and strong communication skills at all levels
  • Familiarity with clerical procedures such as filing, record keeping, and correspondence management
  • Solution-focused with a flexible and adaptable approach to work
  • Ability to work independently and as part of a team in a fast-paced environment
