Main Duties and Responsibilities
Property Management
Support Property Managers and the Head of Property Management in:
- Answering residents' queries and referring to the property manager when applicable
- Invoice processing
- Meeting contractors and residents on site when necessary
- Preparing letters and reports
- Carrying out property inspections as required
- Managing mail (paper & electronic)
- Answering telephones and taking clear messages
- Handling enquiries directly when possible
- Supporting administrative tasks to ensure high-quality service
- Using Microsoft Office software proficiently
- Supporting team activities across all service aspects
- Being aware of managers' daily tasks and ensuring communication in their absence
- Responding to correspondence from Directors, lessees, and tenants
- Coordinating with contractors and monitoring their performance
- Updating databases and completing jobs
- Managing keys securely and recording their return
- Ensuring estate inspections are conducted regularly
- Arranging and attending meetings and inspections
- Drafting and issuing minutes
- Updating contractors' lists and liaising with departments
- Managing contracts and inspections
- Communicating with lessees and tenants regarding works and lease matters
- Handling insurance claims and liaising with loss adjusters
- Updating contracts and schedules of works
- Managing procedures for abandoned cars
General Tasks
- Answering phone calls and processing invoices
- Assisting with work orders
- Producing reports
- Filing and processing paperwork
- Performing other duties as directed
