Job Overview

North Bristol NHS Trust is seeking an enthusiastic and dedicated individual for the position of Assistant Medical Workforce Advisor (Band 4).

The role involves providing professional advice and guidance related to postgraduate doctor rotations within clinical divisions, and ensuring compliance with the 2016 junior doctor terms and conditions of service.

The successful candidate will support clinical divisions with contractual requirements and help develop compliant work schedules for postgraduate doctors and Trust Clinical Fellows.

Main duties of the job

We aim to build a team that is dedicated, skilled, and capable of supporting the postgraduate medical staff and contributing to the overall success of the Medical Workforce service at North Bristol NHS Trust. This role offers an opportunity to make a significant impact on the quality of service provided to our postgraduate doctors.

We are looking for a conscientious and dedicated person to join our team. to:

  • Support the Medical Workforce Manager and Medical Workforce Advisor in delivering an efficient Medical Workforce service for postgraduate medical staff.
  • Advise managers and medical staff on the interpretation and application of national and Trust terms and conditions of service, policies, and procedures.
  • Liaise with external stakeholders such as NHS England South West
  • Manage and interpret information from NHSE Southwest regarding postgraduate doctors, predict and identify potential gaps in rotas, and ensure compliance with the 2016 T&Cs regulations.
  • Monitor compliance with the Code of Practice within the 2016 Terms and Conditions of Employment.
  • Communicate effectively with Medical Recruitment Administrators and support the People Team regarding generic Trust policies applicable to postgraduate doctors.
  • Provide administrative support to the Guardian of Safe Working for managing the exception reporting system and outcomes.
  • Support Clinical Divisions with postgraduate doctors' rotas, workforce planning, and exception reporting using Allocate E-Rota.

Detailed Job Description And Main Responsibilities

The successful candidate will be responsible for the following:

  • Ensure postgraduate doctors receive accurate work schedules and pay specific to their rotation.
  • Support clinical divisions on contractual requirements for Postgraduate Doctors in Training and Trust Clinical Fellows.
  • Maintain up-to-date knowledge on changes to national and Trust terms and conditions, policies, and procedures.
  • Manage information from NHSE Southwest for postgraduate doctors and help predict Rota gaps.
  • Ensure accurate advance information is provided to Clinical Divisions to meet Code of Practice deadlines.
  • Communicate effectively with Medical Recruitment Administrators and transfer information between teams.
  • Support the People Team on matters related to postgraduate doctors.
  • Process salary administration, including appointment and change forms, and liaise with payroll.

Education/Training/Qualifications

Essential criteria

  • Strong administrative background or equivalent experience with postgraduate doctor rotations. at a similar level

Desirable criteria

  • Evidence of ongoing personal development
  • Training in HR administration procedures and employment legislation.

Work Experience

Essential criteria

  • Experience working and undertaking administrative tasks in a busy, sometimes high-pressure environment.
  • Previous experience working with electronic record systems and employment software.

Desirable criteria

  • Previous experience of working in the NHS or education environment.

Knowledge/Skills/Abilities

Essential criteria

  • Excellent communication skills, both oral and written and good organisation, analytical, and problem-solving skills.
  • Proficient in using Microsoft Office and Teams, including employment software and web-based technology.
  • Ability to work independently and manage workload and use independent judgment to identify problems and generate solutions.
  • Ability to handle and respond to complaints and inquiries professionally and effectively.
