Role profile
Osborne Clarke's (OC's) Sales & Marketing (S&M) team is seeking a Bids Exec/Senior Exec to join our Bristol office. The successful candidate will work closely with the Bids Managers and Head of Bids to drive forward best practice processes and support to win work. This role requires a good communicator who can multi-task, work at pace and deal with competing priorities.
You will be self-organised and confident at suggesting new ideas for processes, implementing them (with guidance from the wider team) and challenge existing ways of working. We are looking for someone who has proven experience of effectively project managing multiple tasks with competing priorities, whilst proactively managing expectation with colleagues of varying seniority.

You'll work collaboratively with the Bids team, Head of Pursuits, BD (Sectors), Client Relationship Development, Communications, and wider Business Services teams to ensure the firm is in the best possible position to win new work.

Key Responsibilities
Opportunity logging
- Take responsibility for the maintenance of the team's bids tracker, capacity tracker and bids log ensuring information is accurate and up to date.
- Provide regular updates to stakeholder groups within the business on a daily and weekly basis.
- Run regular management information reports.
- Support the Bids managers and Head of bids in the delivery of project workstreams, with the objective of continual improvement.
- Take responsibility for leading their own project workstreams, with support from the Head of bids and input from the wider team as necessary.
- Take responsibility for the maintenance of the firm's Bids Library, conducting quarterly reviews and updates as necessary.
- Extract and store relevant information in the Bids Library following the completion of every bid.
- Liaise with internal stakeholders to ensure that content is accurate and relevant.
- Identify improvements and execute them.
- Project management: comprehensive project management on the lifecycle of bid opportunities, ensuring that all tasks are completed efficiently and on time, with strategic support from a Bids manager / Head of bids.
- Stakeholder management: confident verbal and written communication with key stakeholders across the business.
- Document management: format, edit and proofread documents.

The Role Will Suit Someone With The Following
- A general understanding of the bids process and it's purpose within the firm
- Demonstrated ability to work proactively and autonomously to a high standard, problem solving within own remit and the awareness to escalate issues when required.
- Excellent project management and experience managing own workload; a proven ability to manage multiple competing deadlines with strong organisational skills and attention to detail.
- Experience of effectively meeting multiple deadlines and being a trusted contact point for cross-departmental teams.
- Takes a proactive approach, with the ability to think ahead to anticipate challenges and mitigate pitfalls.
- Strong communicator with the confidence to advise, ask questions, constructively challenge, and manage expectation at all levels.
- Excellent written and proof reading skills.
- An analytical thinker, with the ability to analyse information and come up with potential solutions.
- Previous experience of working collaboratively within a team, flexing approach to others' preferences.
- Experience working to tight deadlines and pressure, remaining calm and resilient.
- Open mindedness, challenging status quo and using tech to explore efficiencies.
